Why 48 Hours Decides Your ROI
80% of trade show leads die because they’re not contacted within 48 hours.
You spent $40,000 on a booth. You collected 50 qualified leads. If you contact only 20 within 48 hours, you’ve immediately cut your ROI in half.
This playbook prevents that disaster.
The 48-Hour Action Plan
Day 1: Show Closes
Within 4 hours of booth teardown:
- Scan all remaining cards (if any left at booth)
- Upload to CRM with qualification scores
- Route leads to team
- Hot leads → Your calendar for calls tomorrow
- Warm leads → Email queued for overnight send
- Cold leads → Nurture automation
Day 2: Contact Storm
Hot Leads (By phone, same day if during business hours):
“Hi [Name], this is [Your Name] from [Company]. We met at [Show] yesterday. I wanted to follow up on what you mentioned about [their specific problem]. Do you have 5 minutes?”
Goal: Secure 15-30 minute call within the week.
Warm Leads (By email, first thing morning):
Subject: “[Show] follow-up: [Their specific problem]”
Body: Hi [Name],
Thanks for stopping by our booth. I enjoyed our conversation about [specific challenge].
Here’s [promised resource].
I’ll give you a call later this week to see if it might be relevant to your situation.

Cold Leads (By email, nurture sequence starts):
Subject: “Understanding your [challenge]”
Body: Hi [Name],
You may recall meeting at [Show]. You mentioned [their challenge]. We’ve helped companies like [Similar Company Type] address this.
Here’s a brief primer on [topic]. No pressure—I’m sharing because it might be useful.

Follow-Up Email Sequence (Multi-Week)
Week 1: Personalized Value
Email 1 (Day 1): “It was great meeting you. Here’s the resource I promised.”
Email 2 (Day 3, if no response): Phone call attempt
Week 2: Social Proof
Email 3 (Day 7): “How [Similar Company] solved [similar problem]”
Include case study + specific metrics
Week 3: Objection Handling
Email 4 (Day 14): “Common concerns we hear about [topic]”
Format: FAQ or “What companies typically worry about”
Week 4: Urgency & Alternative Action
Email 5 (Day 21): Either:
- Time-limited offer (“Early evaluation discount available this quarter”)
- OR direct meeting request (“Let’s schedule 20 minutes next week”)
If no response after Week 4:
Move to nurture: Low-frequency email (monthly), focus on education, not sales
Multi-Touch Follow-Up by Qualification Level
HOT LEADS (Qualified, Decision-Maker, Timeline)
Day 1: Call → Conversation → Secured 30-min meeting Day 3: Email reminder of meeting time Day 5: 30-min call/meeting Day 6: Email: “Thank you + here’s what I’ll research by Friday” Day 10: Email: “Here’s what I researched, questions answered” Day 14: Call: “Ready to move to next step?”

WARM LEADS (Related Role, Interested, Timeline Unclear)

COLD LEADS (Off-Target Role, Weak Fit, No Timeline)
Day 1: Email: Educational content Week 2: Email: Industry trend or insight Week 4: Email: Case study Week 6: Email: “Any change in your situation?” + soft CTA Month 2-3: Nurture sequence (1x/month)
Success metric: Eventually qualifies or disqualifies (within 6 months)

Common Post-Show Mistakes
Mistake 1: Waiting Until Monday to Contact
Problem: By Monday, leads are forgotten. Competitor already contacted them.
Solution: Contact hot leads within 24 hours, even if it’s Saturday afternoon.
Mistake 2: Generic Mass Email
Wrong: “Thanks for visiting our booth!”
Right: “I appreciated your question about [specific thing you discussed].”
Personalization = 3-5x higher response rate.
Mistake 3: Treating All Leads the Same
Problem: You spend a week trying to arrange meeting with cold lead instead of closing hot lead.
Solution: Route immediately (hot/warm/cold) and dedicate most attention to hot leads.
Mistake 4: No CRM Automation
Problem: You manually send each follow-up email. Warm leads get forgotten.
Solution: Set up automation for warm and cold leads immediately after show.
Post-Show Follow-Up Checklist
By EOB Day 1:
- All leads scanned and in CRM
- Qualification scores assigned
- Hot leads routed to sales team
- Warm leads in email automation
- Cold leads in nurture sequence
By EOD Day 2:
- All hot leads contacted (phone or in-person meeting scheduled)
- All warm leads received personalized email
- All cold leads received initial nurture email
Week 1:

- All calls completed and notes logged
Week 2:
- Opportunities extracted (leads that move to formal sales process)
